An NCR bill book is one of the few pieces of branded stationery that ends up directly in a customer's hand, so the layout is worth getting right the first time rather than reprinting a batch a month later. Here's what actually belongs on the page.
The non-negotiables
- Business name and logo — positioned clearly at the top, sized so it's legible even on the carbonless duplicate copies, which are naturally a little fainter than the original.
- TRN / VAT registration number — required on invoices for VAT-registered UAE businesses; leaving it off means reprinting the whole batch later.
- Contact details — phone, email and (if relevant) website, so the form doubles as a small piece of ongoing marketing.
Fields people forget until the first week of use
It's easy to design a layout that looks clean on a proof but turns out to be missing something once staff are actually filling it in daily. Common gaps: no dedicated space for a customer signature, no line for payment method (cash, card, transfer), and no field for job or reference number if the business needs to cross-reference the paper record against a digital system later.
Choosing a document title
'Invoice', 'Receipt', and 'Delivery Note' are not interchangeable in the eyes of a customer's own accounts team — pick the title that matches what the document is actually used for, since it affects how the recipient files it on their end.
Ink colour and legibility
Most NCR books print in a single colour — black, blue or red. Black gives the sharpest contrast and is the safest default for text-heavy layouts; blue reads as slightly more corporate; red is best reserved for a single accent (a title or a stamp box) rather than the whole form, since large blocks of red can be harder to read on the fainter duplicate sheets.
Sequential numbering
If your team will ever need to reconcile a stack of books against accounts at month-end, ask for sequential numbering to be added — it's a small addition at print time and a real time-saver later.
Before it goes to print
A proper printer will send a digital proof for approval before production starts — use that step to actually check field order and spacing, not just the logo placement, since layout mistakes are far easier to fix on a proof than on a printed box of books.
